Acts on behalf of the Associate Director when scheduling appointments, coordinating meetings and or conferences and exercises exclusive control over the Associate Directors appointments. The secretary screens all calls and visitors and is capable of resolving all issues and answering questions thoroughly. The Secretary obtains and monitors the use of services, supplies or equipment for the executive office and provides general office supply and equipment support services. On behalf of the Associate Director, will review reports, presentations, and requests from administrative services and identify opportunities for improvement, gaps, and make recommendations. The Secretary composes correspondence, reviews responses, reports, and memorandums to develop responses on behalf of the Associate Director. Has the ability to effectively communicate orally and in writing; ensuring proper format, grammar and sentence structure. Independently provides guidance on incomplete/improper responses from personnel reporting up through the Associate Director organization. Due to correspondences being frequently highly sensitive and confidential, the incumbent must have the capability to apply expertise and mature judgment. The incumbent may initiate contact with Veterans and individuals to provide necessary information. Due to the complex and varied nature of the work within the Associate Director organization, the incumbent will provide direct support in coordinating the activities of hospital wide committees that support the overall mission. The Secretary provides leadership to the Environment of Care Committee and is responsible for scheduling Environment of Care Rounds. The incumbent will ensure the Environment of Care Rounds are conducted in accordance with Joint Commission Standards. The incumbent acknowledges Veterans, visitors and staff on the phone and in person utilizing the patient centered care approach. Incumbent possesses the soft skills necessary to deal with difficult problems while respecting the Veteran or visitor values, privacy, preferences and needs.The incumbent is capable of working with other departments to meet the Veterans needs while promoting cooperation between departments.Performs other duties as assigned. Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Acting on behalf of a manager in scheduling appointments, coordinating meetings and or conferences and has exclusive control of the manager's appointments and commitment of time; Screens all calls and visitors and is capable of resolving all issues and answering questions thoroughly; Recognizes and determines the importance of certain sensitive issues and forwards those to the supervisor for management; Handles highly sensitive and confidential correspondence with expertise and mature judgment; maintaining confidentiality; Receiving telephone calls, receiving and controlling mail routing items, reviewing outgoing correspondence, arranging, meetings, including making reservations for meeting rooms and notifying all participants, and making travel arrangements. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
